Every certificate request,
handled before you open the email.

Certificate requests are the highest-volume, lowest-judgement work in a commercial agency: the same five steps, forty times a day, always interrupting something else. We run those steps on top of your AMS. Your CSRs keep working exactly as they do now.

  • Requests read and matched to the right policy automatically
  • ACORD 25s filled from live AMS data and rule-checked before they leave
  • Delivered to the holder, then logged back to the account
  • Recurring holders reissued at renewal without anyone asking

What changes

The loop you run today, and the one that replaces it.

Today · by hand
  1. A holder emails asking for a certificate, usually with half the information missing.
  2. A CSR opens the AMS, finds the policy, and checks the limits are still current.
  3. They fill the ACORD 25 by hand, then re-read it because a wrong limit is a real problem.
  4. They email it to the holder, then log the activity back to the account.
  5. Renewal season arrives and the same holders all need the same certificates again.

What we build

The pieces, not a platform.

Deterministic where a wrong number matters, AI where it earns its seat, and you approve which is which. Nothing here asks your team to learn a new system.

Request intake

Certificate requests arriving by email or form are parsed, matched to the account and policy in your AMS, and queued. Anything ambiguous is held for a human instead of guessed at.

ACORD 25 generation

Certificates filled from the policy record as it stands today, with limits, dates, and holder details pulled live rather than copied from the last one you issued.

Rule checks before it leaves

Expired policies, limits below the holder’s stated requirement, and missing endorsements are caught before the certificate goes out, not after the holder calls.

Delivery and logging

Sent to the holder from your agency, then written back to the account as an activity with the document attached, so the file is complete without anyone updating it.

Renewal reissue

The holders who need the same certificate every term are reissued automatically when the policy renews, which is where most of the volume actually comes from.

Monitoring

When a carrier or AMS changes something underneath, we catch it from monitoring and push a fix. Most of the time you find out because we tell you it is handled.

How it actually works

You record a Loom. We do the rest.

No statement of work, no change orders, no “out of scope”. A named build lead in your Slack from day one, working inside the setup you already have.

Monday, 7:42am
loom · 4:12

We get forty certificate requests a day. Each one, someone opens the AMS, finds the policy, fills the ACORD 25, emails the holder, then logs it. That is a full-time job.

Questions

COI automation questions, answered.

Can you handle our daily certificate volume?

Yes. High-volume, repeatable COI issuance is exactly the deterministic work we take off your team. It runs the same way every time, all day, and volume is the reason it pays for itself.

Do we have to change AMS or learn new software?

No. There is nothing new to learn and no rip-and-replace. We sit on top of the AMS you already run (HawkSoft, NowCerts, AMS360, EZLynx, Applied Epic, QQCatalyst) and automate the steps around it.

Is this just AI? How do we trust it on certificates?

We use LLMs where they earn their seat, like reading a messy request email. We do not use them where a hallucinated number could send a wrong limit to a holder. Your runbook lists what is AI and what is deterministic, and you approve every category.

What happens when a request is ambiguous?

It stops and waits for a person. The system is built to hand off rather than guess: a certificate that is wrong is far more expensive than one that is ten minutes late.

How fast can we get started?

Send a Loom on Monday and you watch it run on your real certificate requests that Friday. Month to month, you own everything, cancel anytime.

What does it cost?

A flat monthly fee, $2,499 or $4,499 depending on volume and how many workflows you run. No per-certificate charges, no setup fees, and no long-term commitment.
