Quotes are picked up wherever the carrier puts them: the portal, the shared inbox, the attachment. Each one is matched to the account and the submission it belongs to before anything is written.

Parsing

Premium, effective dates, limits, deductibles, policy number, and coverage notes are read out of the document. Carrier formats differ, so the parsing is built per carrier rather than assumed to be uniform.

Field mapping

Values land in the AMS fields your agency actually reports on, mapped once during the first week against your configuration: your custom fields, your activity codes, your naming.

Confidence checks

A premium that moved more than your threshold, dates that do not line up, a policy number that fails the carrier’s format: these stop and wait for a person instead of writing a wrong number into the file.

What if the carrier has no API?

Most do not, which is the point. Where a carrier offers an API we use it. Where it does not, we work the portal deterministically the way your CSR does, and the sync-back looks identical from your side either way.

How do we know a wrong number will not get written into the file?

Anything outside the thresholds you set stops and waits for a person. A quote that is ten minutes late is cheap; a premium that is wrong in the AMS is not, so the system is built to hand off rather than guess.

Which AMS fields does it write to?

Yours. Custom fields, activity codes, and naming conventions get captured in a mapping layer in the first week, and the automation is built against your configuration rather than a reference install.

Do we have to change how our team works?
